All Deliveries must be hand-unloaded by the customer unless expressly stated otherwise.
Quotes, Pricing & Availability
Time permitting, Brazilian Wood Depot (BWD) may provide quotes based on drawings, plans, dimensions, square footage, or similar project details. The MyQuote Interactive Resource serves as a supplemental reference tool, helping customers understand key aspects of their quotes—such as species selection, installation recommendations, and related educational resources.
All quotes are subject to prior sale, availability, and market price fluctuations. Because hardwood supply and freight costs vary, pricing and inventory may change without notice.
Quotes are typically valid for seven (7) days from the date issued unless otherwise extended in writing by a BWD sales associate. Customers may inquire if their quote can be honored beyond that timeframe.
The final invoice represents the binding sales agreement.
Any prior verbal or written estimates, drafts, or communications are superseded by the finalized invoice. BWD’s responsibility is limited to fulfilling the products, quantities, and specifications shown on that invoice.
Payment Terms
Brazilian Wood Depot (BWD) accepts the following payment methods:
credit card, wire transfer, check, and ACH payment.
Payment may be made securely through the BWD Payment Portal or by phone with a sales representative. Full instructions and options can also be found on our Payment Portal page.
For larger orders, BWD prefers check, ACH, or wire payment to ensure faster and more secure processing.
Although we do not charge a credit card convenience fee, electronic funds transfers (ACH/wire) are preferred for orders of significant value.
All orders must be paid in full prior to shipment.
In limited cases, customers may pay upon pickup, but this must be expressly approved by BWD in advance and does not apply to any milled or custom orders.
Shipping & Delivery
Customers are responsible for reviewing and understanding the BWD Shipping Guide prior to delivery. This guide outlines all common carrier (LTL), flatbed, and local delivery methods, along with detailed information about crating, GPS tracking, and BWD’s damage-free guarantee.
All deliveries—whether local, LTL, or flatbed—are unloaded by the customer unless expressly noted otherwise. Customers are responsible for providing adequate personnel or equipment to safely unload materials at the time of delivery.
Inspection and Acceptance at Delivery
Upon delivery, customers must inspect all materials and verify quantities, quality, and condition before signing the Bill of Lading.
Any visible damage, shortage, or discrepancy must be clearly noted on the delivery receipt or Bill of Lading at the time of delivery.
Failure to document issues at delivery may void the ability to file a shipping claim.
Customers are required to accept delivery of all shipped materials, even if damage is observed.
Brazilian Wood Depot will take all reasonable steps and pursue appropriate recourse with the carrier to resolve legitimate claims.
Refusing delivery due to damage or accounting disputes will result in additional freight fees and may delay claim resolution.
Damage-Free Guarantee
Brazilian Wood Depot has an exceptional track record of damage-free deliveries, supported by comprehensive crating methods and photo documentation for every shipment.
In the rare event of damage, photos are strongly recommended and should be submitted promptly to aid in claim processing.
For transparency and real-world examples of how shipments are prepared and handled, customers may view the Recent Orders Gallery, which shows live shipment photos, GPS tracking data, and crating examples.
Natural Variation & Appearance Disclaimer
Wood is a product of nature, and each board is inherently unique. Variations in color, grain pattern, and texture are to be expected and reflect the natural beauty and authenticity of genuine hardwood lumber. These characteristics are not flaws — they’re what make real wood products distinct from synthetic alternatives.
As a result, color and grain variations are not considered defects and are not eligible for return or exchange. Differences in tone or figure between boards, or between delivered material and photos on our website, are normal and expected outcomes of working with a natural product.
For further guidance on how hardwoods weather, change over time, and respond to installation environments, please review our educational article:

Installation & Performance
Proper installation practices are essential to achieving the long-term results expected from premium hardwood decking and siding.
Before beginning any project, customers MUST review the official, relevant BWD Installation Guide(s) — a comprehensive library covering decking, siding, tongue-and-groove, cleaning, oiling, and fastener systems. These guides outline the correct installation procedures, common mistakes and environmental condition advisories needed to ensure lasting beauty and structural integrity.
Because hardwoods naturally expand and contract with changes in moisture content, attention to ventilation, drainage, and fastening method is critical. For a detailed explanation of how airflow and moisture management affect board movement, see our educational article:
➡️ Cupping Explained – Fix Poor Ventilation and Drainage Design
BWD also recommends using Heritage Deck Framing under hardwood decking for optimal longevity and structural consistency. This system provides superior preservative retention and stability compared to standard treated pine framing, helping ensure the substructure lasts as long as the decking it supports.
Returns & Restocking
At Brazilian Wood Depot, we understand that project plans sometimes change. As a family-owned business with a long-standing record of exceptional customer service, we always do our best to work with customers to find fair and reasonable solutions whenever possible.
That said, to maintain product quality and transparency, the following policies apply to all returns:
- Returns must be made within thirty (30) days of delivery and materials must be in saleable condition.
- All approved returns are subject to a 15% restocking fee to cover handling, inspection, and repackaging.
- Milled or custom orders are final sale and not returnable. This includes any boards that have been KERF-milled for hidden fasteners, bottom grooving, tongue-and-groove, RainScreen siding, or any other milling or modification made to the lumber.
- Customers are responsible for confirming which products are eligible for return by consulting their BWD sales associate before initiating a return.
- Customers must obtain written authorization from BWD before returning any materials. Unauthorized returns will not be accepted or credited.
BWD does not permit “picking” through crates or selectively returning boards in an attempt to achieve a uniform color or grain pattern. Wood is a natural product, and variations in appearance are to be expected as part of its inherent beauty.
Warranty & Limitations
Brazilian Wood Depot guarantees that all materials are of the correct species as sold and invoiced. Customers can be confident that the hardwood species listed on their invoice is exactly what they are receiving — never substituted or misrepresented.
Customers must inspect and report any shipping damage or material concerns within seventy-two (72) hours of delivery. All claims should include supporting photos and be submitted to a BWD sales representative by phone or email. Prompt documentation allows us to take appropriate steps with carriers and suppliers to resolve issues quickly.
Important Note on Full-Length Boards
BWD is not responsible for full-length board replacement when only a portion of a board is damaged by shipping carriers or otherwise.
For this reason, BWD does not recommend using full-length boards, especially for out-of-state shipments, as even minor edge or end blemishes can occur during transit.
Customers are encouraged to plan accordingly and incorporate flexibility in their designs to account for trimming or length adjustments as needed.

Important Note on Performance of Natural Wood
BWD is not responsible for issues caused by environmental conditions such as moisture, cupping, shrinking, swelling, surface checking, or end checking — all of which are natural characteristics of exterior hardwoods. Proper installation, ventilation, and maintenance are essential to minimizing these natural effects and ensuring long-term stability.
